  • In Turkey, she/he is responsible for mentoring and reporting projects progress, Establishing /archiving reports and documents for the project, coordinating between the donor, project Officer and the field, following up with program manager and donor with effective communication system, ensuring satisfactory completion plus closing of the project due to donors’ requirements in addition to performing overall project management, ensuring full reporting mechanisms are in place. She/he is responsible for the day-to-day management of the entire intervention and oversees correct implementation according to the project’s objectives.

Roles & Responsibilities:

  • Manage the successful completion of assigned projects on a day-to-day basis to ensure the effective and accountable management of ATAA projects. S/he will monitor the implementation of the projects (timely, financially, and scope-based); oversees the timely data collection and reporting at the local level
  • Set Project plans (detailed implementation plan, procurement plan, human resource plan, spending plan…etc)
  • Following up on the financial transfers to NWS and the logistical tasks in order to ensure the smooth and proper purchasing mechanisms after preparing the needed Purchase Requests Supervising and auditing the received documents, visuals, and reports from field staff, and Preparing/ Participate, with the project coordinator in Syria, to finalize the detailed BoQs, related drawings and specification books of the diverse contractual services
  • Initiating and supervising the procurement and hiring process of the project staff and their needs, and interviewing the candidates related to project positions to form the desired field team.
  • Supervising the media department outputs in order to update the status of documentation daily.
  • Preparing weekly and monthly detailed work plans for field staff and supervising their achievements.
  • Conducting weekly and ad-hoc meetings with the Project Coordinator in NWS to ensure being on track. To provide daily support to the coordinator when needed. To discuss issues that arise and to make decisions accordingly
  • Conduct meetings with the stakeholders in Turkey to share informative for the lion and exchange best practices. Attending coordination meetings accordingly and presenting and representing when needed
  • Informs direct manager about any actual/foreseen delay or in finalizing tasks.
  • Keeps and securely saves all records, reports, and documents related to the project.
  • Preparation of weekly, monthly, quarterly and annual performance reports of the project.
  • The PM must be the focal point with the donor, or with any other stakeholder regarding the project and it is prohibited that any project employee sends or receives reports or project-specific information exclusively through the PM.
  • Assists in projects proposal writing.
  • Work with the M&E to ensure an accurate and timely flow of information from the field for entry in the database and for preparation of PR materials.
  • Ensuring effective implementation of projects that meet contractual obligations including all partner/ donor policy, procedures, rules, and regulations.
  • Ensuring activities are in line with community and beneficiary needs.
  • Ensuring project activities are implemented to a high quality based upon related standards (e.g., Sphere, CHS, …etc)
  • Managing Budgets and understanding Financial Reports
  • Ensure risks are appropriately managed, including financial, safety and security, programmatic and reputational
  • Ensure all internal and external narrative and financial reports (weekly, monthly, narrative quarterly and final) are submitted within agreed timeframes to the relevant stakeholders.

Skills:

  • Languages: Fluent in English and Arabic (writing –reading –speaking) other language will be desired especially Turkish
  • Computing: Proficient in Microsoft Office including, excel, word, outlook etc.
  • High level of awareness in the Syrian context with its recent updates, and the relevant humanitarian interventions and needs.

Qualifications and Education Requirements:

  • Holds a university degree , preferably in the fields of Education and Business Management.
  • A minimum of two years experience in field relief work, especially in the field of development projects, including at least two year in the management of education projects.
