Gavi Alliance’s (“Gavi”) mission is to save children’s lives and protect people’s health by increasing access to immunisation in poor countries.

The Resource Mobilisation, Private Sector Partnerships, and Innovative Finance Department supports Gavi by ensuring sustainable donor financing and resource innovation. This includes (i) securing donor pledges and deepening relationships with existing donors while helping to elevate Gavi and immunisation on global agendas, (ii) diversifying Gavi’s financing base to include new and emerging donors and the private sector (iii) bringing to bear the innovation and resources of the private sector through new and expanded partnerships, innovative financing, and other initiatives; and (iv) leading key fundraising and reporting exercises. 


At the 2020 Gavi Pledging Conference in London, US$8.8 billion worth of new commitments were pledged by public and private donors towards Gavi, exceeding the target set in its investment opportunity and bringing the total resources for 2021-2025 to US$10.5 billion. Those contributions positioned Gavi well to accelerate the roll out of current vaccines, reach 300 million more children in developing countries by 2025, and in so doing contribute to saving 7 to 8 million lives. Since then, Gavi mobilized additional funds for the COVAX AMC, which has provided access to COVID-19 vaccines for lower income economies.

Building on successes of the previous strategic periods, Gavi’s 2021-2025 strategy will support the roll-out of the most comprehensive package of protection to the world’s poorest countries in the Alliance’s history and help foster long-term sustainability and vaccine supply security through its unique transition model and market shaping efforts. 

With a five-year cycle, Gavi is in the midst of its strategic period preparing for a replenishment by the end of the cycle (2025). Held in 2024, the Replenishment will gather partner government leaders and CEOs for to sustained investment and secure funding for the next cycle 2026-2031. 


THE ROLE


Please note this is a temporary role for 12 months.


•Administrative assistance to project management for the Replenishment;

•Support event planning and the different preparation workstreams;

•Perform administrative support for the Director for Replenishments and the Chief Resource Mobilisation and Growth Officer (organization of meetings, trips);

•Support budget oversight and budget execution;

•Work closely and coordinate with a number of Secretariat departments (incl. Communications, Country Programmes Development, Operations) to ensure the efficient content development of the Replenishment;

•Support the preparation of the invitations and communications with Replenishment participants;

•Support the preparation of the Core Group meetings and facilitate decision-making;

•Support (as appropriate) in collaboration with the Event Execution and Logistics team the development of communications/materials relating to the Replenishment; 

•Assist in developing the programme of Gavi’s Replenishment as well as for side meetings;

•Coordinate compilation of internal briefing notes and speaking points.



MAIN DUTIES/RESPONSIBILITIES


Specific duties and responsibilities of the senior administrative assistant for the Replenishment include:

•Provides full administrative and secretarial support for the Director for Replenishments, core group, and workstream teams (including preparing letters, emails and reports and diary management); 

•Communicates with internal/external contacts including donor host government, including drafting and editing of standard and specific participants correspondence; 

•Ensures the team members are prepared for major donor engagement including planning logistics, compiling briefings; 

•Manage invitation process, including issuing and tracking invitations, responding to queries, and ensuring the smooth attendance of high-level delegates;

•Supports the organisation of key donor events and campaigns for the Replenishment. Active participation in the Project Management Office and other key events; 

•Anticipates and pro-actively plans for upcoming team engagements and needs; 

•Ensures proper maintenance and retrieval system of team records (paper and electronic), including diligent management of an extensive donor contact database; 

•Works in close collaboration with Operations team for consultants’ and interns’ contracts; 

•Coordinate the Replenishment budget, provides regular reports to co-chairs and thorough follow up of expenditures and budget balance; 

•Screens and prioritises incoming communications and workflow, determines routing for action, and ensures logging (for official correspondence) and rigorous follow-up; 

•Builds effective working relationships with colleagues and external contacts; 

•Supports external meetings and events as may be required.

QUALIFICATIONS


ACADEMIC


•Completion of relevant higher education degree;

•Training in Project Management is desirable; 

•Training in secretarial/administrative field is desirable.


WORK EXPERIENCE


•Experience in coordination support in a multilateral environment in both the public and private sector, including supporting a senior leader/team for at least 3 years;

•Experience in document production for high-level events within the area of health and development;

•Experience in the event industry is an asset;

•Understanding of Gavi business model is an asset. 


SKILLS/COMPETENCIES


•Strong organisational and coordination skills, proven project management/coordination skills highly desirable;

•Excellent English drafting and editing skills; 

•Ability to prioritise, work under pressure and take initiative;

•Computer skills, including internet navigation and excellent control of Microsoft office, SAP, Salesforce applications and other web applications;

•Demonstrated ability to work independently and in a team within a multi-cultural environment, and establish harmonious and effective working relationships both within and outside Gavi;

•Tact, discretion, and high level of diplomacy;

•Experience of electronic document management systems and records management, One Drive experience desirable;

•Excellent interpersonal skills, diplomatic abilities, and cultural sensitivity to engage stakeholders in countries and corporate representatives Gavi works with;

•Flexibility and willingness to work outside normal business hours as needed during peak periods or during urgent situations and ability to travel punctually.


LANGUAGES


•Fluency in written and spoken French is mandatory; 

•A professional level of English is required, with fluency in English desirable.
